How PayTracc handles your personal information.

PayTracc ("we", "us", or "our") operates the PayTracc mobile application and this website. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services. It is designed to meet the requirements of the Apple App Store, Google Play Store, and the Australian Privacy Act 1988 (Cth) where applicable.
1. Information we collect
1.1 Information you provide
- Account details: name, email address, password (stored securely via our authentication provider)
- Profile information: optional profile photo, tax file number (TFN) if you choose to store it, employment preferences
- Pay data: timesheets, shifts, employers, pay rates, leave bookings, payslips, and related notes
- Support communications: messages you send to our support team
1.2 Information collected automatically
- Device information: device type, operating system, app version, language settings
- Usage data: feature interactions, crash logs, and diagnostic data to improve stability
- Push notification tokens: if you enable notifications
- Approximate location: only if you explicitly grant permission for location-based features
1.3 Sensitive information
Pay and tax-related data may be sensitive. We only collect what is necessary to show your payslips, hours, leave, and related features. Do not enter information you are not comfortable storing in the app.
2. How we use your information
We use personal information to:
- Create and manage your account
- Show your payslips, leave balances, tax estimates, and related pay features
- Send pay-cycle reminders and notifications you opt into
- Provide customer support and respond to enquiries
- Improve app performance, security, and user experience
- Comply with legal obligations
We do not sell your personal information to third parties.
3. How we share information
We may share information with:
- Service providers — cloud hosting, authentication, analytics, crash reporting, and push notification services that process data on our behalf under contractual safeguards
- Legal requirements — when required by law, court order, or to protect rights, safety, and security
- Business transfers — in connection with a merger, acquisition, or sale of assets, with notice where required
Your pay data is private to your account unless you explicitly share exports or reports.
4. Data storage and security
Data is stored using industry-standard cloud infrastructure with encryption in transit (TLS) and at rest where supported. Access is restricted to authorised personnel and systems. No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
You are responsible for keeping your login credentials confidential and for securing your device (e.g. biometric lock, device passcode).
5. Data retention
We retain your information while your account is active and as needed to provide services, comply with law, resolve disputes, and enforce agreements. You may request deletion of your account and associated data subject to legal retention requirements.
6. Your rights and choices
Depending on your location, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your account and data
- Withdraw consent for optional processing (e.g. notifications)
- Lodge a complaint with a supervisory authority

7. Children
PayTracc is not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us data, contact us and we will delete it.
8. International transfers
Your information may be processed in countries other than Australia where our service providers operate. We take steps to ensure appropriate safeguards are in place consistent with applicable law.
9. Third-party links
Our app or website may link to third-party sites. We are not responsible for their privacy practices. Review their policies before providing information.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the revised policy on this page and update the "Last updated" date. Material changes may be notified in-app or by email where appropriate.
